Coarc, a non-profit organization dedicated to supporting people with disabilities, is seeking a full time Human Resources Administrative Assistant to join our team. Hours: Monday through Friday 8am – 4:30pm with 1/2 unpaid lunch.
Pay Rate: $16.27 per hour
GENERAL PURPOSE OF JOB
Provide general and specific support to the Human Resources Department in a professional manner that promotes cooperation with others by consistently demonstrating a positive attitude, remaining open and adaptable to change, maintaining confidentiality and by demonstrating the ability to focus on productivity.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Initiate, implement, and maintain effective and efficient office operation systems in accordance with this description and with your Supervisor(s) on a daily basis

Maintains applicant database including data entry of all applicants

Performs reference checks and schedules applicant interviews
-
Generates meeting minutes as needed or required and ensures approval and distribution of meeting minutes.

Distributes departmental mail

Initiate, prepares and distributes correspondence and mailings

Conducts employment verifications

Orders and stores departmental office supplies
-
Fulfills internal and external customer services requests as needed

Prepares and distributes monthly Anniversary Cards

Utilize business equipment to ensure copies, faxes and scanning projects are executed
-
Completes departmental filing and ensures systems are in order and that filing is occurring to ensure there are no filing backups
-
Ensures adherence to document retention schedules as it pertains to Personnel Files
-
Schedules and conducts first day paperwork

Performs data entry as needed; creates and maintains electronic records using HRIS Systems/Excel

Tracks documents to ensure receipt by the HR Department

Prepares for Benefits Orientation by ensuring the room is reserved, vendors are reminded, attendance is confirmed, lunch is ordered, and paperwork is prepared

Maintains a calendar of meetings as it pertains to the departmental events and meetings as directed, and resolve any scheduling conflicts on a daily basis

Maintains purchase order systems and ensures PO logs are completed

Gathers and organize information for reports, project, meetings, events, appointments, and other related details on a daily basis with adherence to timelines and follow-up as necessary and ensures proper notification to the Supervisor of any existing or emerging issues

Maintains other related records that are relevant to the program’s operation on both a self-initiated and directed daily basis

Maintains Compliance Poster Board in Mellenville and distributes updates to Program managers

Prepares and distributes applicable reports such as Board Report, Equity Reports etc.

Attends meetings and trainings both on or off site as needed or required

Perform any other related duties or responsibilities deemed necessary to the position and as required by the Department

Informs supervisor of any issues that arise involving workflow
REQUIREMENTS
-
High School Diploma or GED (now called TASC); Associates degree or related business training preferred
-
One year of related experience; two years preferred
-
Ability to remain extremely confidential due to the sensitive nature of position
-
Exceptional written, communication, and computer skills (Word, E-mail and Excel)

Ability to be certified in all required trainings
-
Occasionally required to lift up to 25 pounds
-
Valid Driver’s license
