This Administrative Coordinator position serves as support to the Executive Assistant in the Office of the Vice President for Student Affairs. The administrative coordinator serves at the front desk welcoming and responding to students, faculty/staff, and all visitors to the Student Affairs suite; while assisting with the traffic flow of the office and offering exceptional customer service.
Duties
- As a staff member in Student Affairs who works closely with students, this person serves as a Christian role model and promotes a biblical worldview.
- Respond to questions regarding the University and Student Affairs-specific programs, services, and policies; provide direction to appropriate departmental contacts. Assist with coordination and logistical demands of Student Affairs events and programs, and work collaboratively with colleagues to promote departmental goals.
- Supports the Executive Assistant to the Vice President for Student affairs and provides general office functions. These include, but are not limited to, mail distribution, coordinating meeting logistics and event planning for department meetings, serving as a back-up for phone coverage, creating and/or proofing correspondence; and assistance with updating Student Affairs organization charts and emergency contact lists. This position is responsible to process financial transactions (reconcile/substantiate credit card statements, purchase orders); monitor/track and order office supplies, assist student employees, and arrange for audio visual support for meetings, as needed. Will also participate in monthly administrative support training and other departmental development offerings.
- Responsible for assisting with tracking, reconciling expenses and submitting expense reports for the Student Enrichment Fund programs (Dine with a Student and Student Home Entertainment). Will distribute vouchers for the dine with student program, as appropriate; and assist with updating monthly utilization reports. Assist in providing feedback, collaborating and updating materials and online website for the Student Enrichment Fund programs.
- Perform other duties, as required.

Skills and Qualifications
Required:
- An Associates degree or higher along with two or more years of professional office support/administrative experience; able to work well under pressure and provide support with discretion, confidentiality, and maintain a positive attitude.
- Submission of a cover letter.
- Exercises good judgement and knows when to escalate complex requests to the supervisor.
- Ability to be a self-starter, multi-task, manage competing priorities; enjoys helping others, can work independently, and respond to emergency situations with a sense of urgency.
- Exceptional interpersonal, organizational, business communication and time management skills.
- Excellent oral and written communication skills.
- Ability to work well under pressure; use good judgement.
- Proficiency with Google Suite and Microsoft Office, with experience in Word, Excel and PowerPoint.
Preferred:
- A Bachelor’s degree.
- Experience in office management/support, administrative support.
- Experience with Canva.
- A willingness to embrace and learn new technology.
- Familiarity with the department contacts and campus events.

This is a Regular, Nonexempt, 40 hour per week position.
Expected Pay Range: $20.77 – $25.96 per hour
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
