Job Description:
- Exercise judgment, by parameters set by the manager, in relieving the administrator of actions not requiring his/her immediate attention.
- Screen telephone calls, incoming mail, publications, and other correspondence.
- Respond to routine and inquiries using standardized formats, and use judgment to refer unusual or complex inquiries to a supervisor.
- Receive visitors and callers, providing information as requested and resolving conflicts, and referring callers to the proper administrator or department as appropriate.
- Maintain calendar and appointments of supervisor, including lodging and travel arrangements.
- Serve as secretary to committees, prepare agendas, take and transcribe minutes, collect and distribute materials and information.
- Maintain an accurate and detailed calendar of events, due dates, and schedules as they relate to assigned areas and services to ensure proper tasks and activities occur as scheduled.
- Assist in the preparation of departmental reports by gathering, organizing, and summarizing information from a variety of sources.
- Monitor budget for a multi-source budget account, compile and prepare information for budget development.
Required Skills:
- Strong Secretarial experience focused on Leadership management.
- Proficient with Microsoft Teams, Outlook, Excel, and PowerPoint.
- Ability to multi-task, highly organized.
- Required to maintain an office calendar system in addition to the manager’s calendar.
- Ability to utilize Zoom to ensure efficient virtual meetings.
- Must be proficient in typing, taking notes, and other dictation-related workflows.
- Candidate will work at the direction of the Executive Director, managing delegated duties, willing to learn and ask questions, detailed note taker.
