Administrative Specialist to the Dean

Position Overview

Founder’s College at Butler University provides an affordable pathway for historically underserved students from the Indianapolis area who want to pursue education after high school. We are seeking a highly organized, proactive, and detail-oriented individual to join our team in support of students in our new two-year college at Butler.

The Administrative Specialist to the Dean will serve as the primary administrative support to the Dean and other leaders within Founder’s College. This includes overseeing scheduling, administrative, operational, and budgetary items for the College. Most importantly, this role will work with students and support them by serving as the point person for students and visitors to the College. As a result, the assistant plays an integral role in the holistic support of Founder’s College students.

Responsibilities

  • Serve as the first point of contact for students and guests to Founder’s College
  • Work as primary administrative support for all Founder’s College admission activities
  • Help manage the inventory and ordering of office supplies
  • Oversee building access and protocols
  • Serve as a liaison for the College while collaborating with other campus leaders and personnel across the University on a wide variety of matters
  • Support Founder’s College leadership with calendaring, scheduling events, and overall college operations
  • Serve as a student-focused key contributor for college logistics
  • Provide oversight and support for budget operations including submission of expense reports, expense tracking, procurement processes, and related tasks
  • Actively listen to students’ needs and connect them to the appropriate resource at Founder’s College
  • Field questions from internal and external inquiries, serving as a key resource for students
  • Assist the dean and Founder’s College leadership with hiring, onboarding, and training efforts for new Founder’s College team members
  • Advisory council coordination
  • When needed, assist with student registration
  • Assist with special event organization and execution
  • Coordination of advisory council
  • Work with Enrollment Management to coordinate student and enrollment events, as needed

Required Qualifications 

  • High School Diploma
  • 4-7 years of experience assisting for a director and above, managing budgets, problem-solving, and collaborating
  • Possess a true start-up mentality as it relates to launching a new college
  • Experience working with students—preferable of student enrollment or retention experience
  • Excellent communication and listening skills
  • Advanced skill level in Microsoft applications, especially Excel and PowerPoint
  • Ability to exercise good judgement and initiative in analyzing work situations
  • Experience dealing effectively with complicated work matters
  • Ability to inspire and develop staff
  • Performs work independently with limited supervision
  • Experience with running reports and manipulating data
  • Experience with understanding the process of project management

Preferred Qualifications 

  • Bachelor’s degree
  • 4-7 years of experience assisting at least at departmental level at a higher-ed institution, managing budgets, problem-solving, and collaborating
