Role Summary
This role provides high-level administrative and operational support to the SVP, Finance – Commercial Businesses, as well as select colleagues across the broader Commercial Finance team. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, global environment. This role plays a critical part in ensuring smooth day-to-day operations, enhancing team effectiveness, and driving engagement initiatives.
Role Responsibilities
- Executive Support: Manage the SVP’s calendar, proactively anticipate conflicts, and resolve scheduling challenges with discretion. Coordinate all meeting logistics including conference rooms, virtual platforms, materials, and prep.
- Travel & Itinerary Management: Organize complex, often international, travel arrangements. Create and manage detailed travel itineraries to ensure efficient and seamless travel experiences.
- Meeting & Event Coordination: Support planning and execution of team meetings, offsites, and key leadership forums, ensuring all logistical aspects run smoothly.
- Team Engagement & Culture Building: Initiate and lead activities that promote collaboration and engagement, including internal communications, virtual events, and team town halls.
- Expense & Financial Administration: Prepare and submit expense reports, track reimbursements, and manage American Express transactions to ensure accuracy and timely resolution.
- Project & Goal Tracking: Develop and maintain systems to track team goals, key deliverables, and initiatives. Follow up on action items to ensure timely completion and accountability.
- Document & Presentation Preparation: Draft, format, and edit high-quality presentations, reports, and communications using Microsoft Office tools.
- Cross-Team Support: Provide occasional back-up administrative support to other leaders and executive assistants across the Commercial Finance team.
Technical Skills
- Strong written and verbal communication skills
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Strong time management, organizational, and multitasking abilities
- Experience supporting senior leaders and coordinating high-volume, global travel
Professional Experience
- 3–5 years of administrative or business operations support experience
- Demonstrated ability to work independently, exercise sound judgment, and maintain confidentiality
- Track record of managing multiple priorities with poise and professionalism
- Experience in dynamic, global environments preferred
Education
- Bachelor’s degree preferred, ideally in Business Administration, Communications, or a related field
- Equivalent relevant work experience may be considered in lieu of a degree

The salary for this position ranges from $32.47 to $54.11 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
