GENERAL DESCRIPTION

This role will support invoice reconciliation, issue resolution, and coordination with internal and external stakeholders. This is a unique position at our company. Prior experience with Coupa is preferred, but we are willing to provide training if needed.

ESSENTIAL JOB FUNCTIONS

  • Collaborate with the customer to ensure accurate invoice processing and alignment with contract terms.
  • Manage and resolve disputed, abandoned, and invoices pending approval.
  • Prepare and distribute a weekly report listing all open/disputed/abandoned invoices for review by the customer and related internal teams.
  • Escalate integration issues to IT or system support teams when necessary.
  • Focus on outlier resolution and root cause analysis to prevent recurring billing issues.
  • Participate in testing of invoices and invoice workflows.
  • Support new program setups, rate card maintenance, and documentation of billing work instructions.
  • Assist with rate card ownership, including lane ID and accessorial charge updates.
  • Ad Hoc analysis and other miscellaneous reporting and activities as required.
  • All other duties as assigned.

PHYSICAL REQUIREMENTS

  • Talking, hearing and using hands to operate computer equipment.
  • Vision abilities required by this job include close vision and the ability to adjust focus.
  • Job will require regular and punctual attendance as well as presence on-site at the assigned work location.

OTHER SKILLS/ABILITIES

  • Strong proficiency with spreadsheets (Excel) and data analysis.
  • Excellent communication and collaboration skills to interact with both internal teams and external partners.
  • A self-starter with strong organizational skills and attention to detail.
  • Ability to learn and navigate procurement or finance systems (Coupa, SAP, Sage, TMF, etc.).
  • Prior experience with Coupa or similar procurement/invoicing systems preferred.
  • Familiarity with cloud billing models, or technology procurement preferred.
  • Project-oriented and improvement-focused.

education AND EXPERIENCE

  • High School Diploma/GED is required.
  • Bachelor’s degree in Accounting, Economics, Business Administration or related field is preferred.
  • Experience with Coupa or similar procurement/invoicing platforms.
  • Familiarity with technology billing and/or cloud-based invoice models.
  • 3 – 5 years of work experience.
  • Logistics/Freight Forwarding industry experience preferred.

CERTIFICATIONS AND LICENSES

Professional certification may be required in some areas
