The Customer Service Assistant supports internal operations of the customer service team by performing a range of administrative and logistical duties. These include assisting with order entry, label inspections, customer sample coordination, and managing shipments and documentation.
This entry-level role reports directly to the Assistant Customer Service Manager and indirectly to the Customer Service Manager.


Key Responsibilities
Customer & Order Support

  • Input customer orders into inventory and purchasing software.
  • Manage customer accounts: receive, process, confirm, and acknowledge orders.
  • Submit acknowledgments, shipping confirmations, and invoices through various customer portals.
  • Support new customer onboarding and update customer price sheets monthly based on milk futures.
  • Attend weekly freight meetings and update the Customer Weekly Orders Spreadsheet accordingly.
  • Organize a monthly customer order review meeting based on the weekly spreadsheet.

Sample & Label Duties

  • Track customer samples and follow up on feedback.
  • Assist with the submission and fulfillment of sample requests.
  • Perform label inspections to ensure accuracy.

Documentation & Internal Support

  • Help complete new product forms and update records.
  • Assist with other assigned tasks as needed.

Skills & Abilities

  • Attention to Detail – Accuracy in data entry, label checks, and order tracking.
  • Computer & Software Skills
    • Intermediate knowledge of Excel
    • Basic knowledge of Word
    • Familiarity with inventory and purchasing software systems (BC Foods)
  • Communication Skills – Strong written and verbal abilities; responsive and professional customer interaction.
  • Organizational Skills – Able to multitask, prioritize, and work independently.
  • Team-Oriented – Willing to support teammates across departments.

education & experience

  • Education: High school diploma or equivalent preferred.
  • Experience: 1-3 years’ experience in customer service preferred.

Physical Requirements & Work Environment

  • Primarily seated work with occasional lifting (up to 20 lbs.).
  • May occasionally need to enter production or construction areas (safety training provided).
