Position Title: Enrollment Coordinator

Position Summary

The Coordinator of Enrollment is responsible for developing and executing a

comprehensive enrollment strategy to attract, enroll, and grow a diverse student

population across all grade levels (Pre-K through 12th grade) in the City of South Bend

and St. Joseph County area. This role leads the enrollment team, oversees enrollment

processes, marketing efforts, and community partnership/engagement, as well as

monitors compliance and building utilization to ensure optimal enrollment outcomes

aligned with district goals.

Key Responsibilities:

? Strategy Development & Execution

o Develop and implement a multi-year enrollment strategy to meet annual

recruitment and retention goals

o Analyze demographic data, enrollment trends, as well as housing and

economic development to guide recruitment efforts, boundary

adjustments, and policy updates

o Monitor competitors and legislative/regulatory activities to inform

decision-making

o Collaborate with the Curriculum & Instruction department and school

leaders on programming and branding to highlight school strengths and

meet community needs

? Enrollment Operations

o Oversee the full enrollment process, including updating, communicating

and promoting enrollment information, organizing and coordinating

recruitment events such as showcases of schools, and managing transfer

requests and withdrawals.

o Ensure district enrollment policy and processes are followed by schools to

achieve equity and transparency in enrollment practices

o Ensure enrollment information is entered and updated in student

information system accurately and timely by schools to support staffing

and scheduling processes

o Manage re-enrollment processes to collect up-to-date information for

transportation planning

? Compliance

o Collaborate with the IT department to ensure accurate enrollment data are

submitted to the state on time

o Maintain accurate enrollment records and ensure compliance with state

and federal regulations.

o Monitor Consent Decree compliance with regard to enrollment

? Team and Stakeholder Management

o Provide supervision, training, guidance and support to staff members

involved in enrollment processes.

o Collaborate with school leaders to understand school enrollment trends,

strategize and support school-based marking, branding, and recruitment

efforts.

? Community Engagement & Outreach

o Collaborate with other departments to help families understand

school choice and enrollment processes

o Gather feedback from families and community on issues impacting

enrollment

o Maintain and grow partners in public and private sectors to promote South

Bend Schools and support recruitment

Working Conditions:

1. Indoor office environment

2. The person in this position needs to be able to move about inside school

buildings to visit classrooms and attend meetings outside of his or her office 3.

The person in this position must be able to transport himself or herself to all

school locations within the district.

4. The person in this position must be able to remain in a stationary position 50% of

the time

5. The person in this position must be able to operate a computer and other office

productivity machinery, such as a copy machine and computer printer 6. The

person in this position must be able to converse with administrators, teachers,

families and community members and must be able to exchange accurate

information with such individuals

Qualifications:

? Master’s degree with a concentration in education

? Minimum of three years of successful experience teaching and demonstrated

leadership

? Evidence of being able to design and deliver effective professional development

sessions to administrators and staff

? Experience analyzing formative and summative assessment data, identifying

data trends to inform training and support, and using data to develop strategies

to meet enrollment needs

? Strong interpersonal skills and ability to build and maintain effective peer-to-peer

relationships

? Demonstrated professionalism and excellent oral and written communication

skills

? Demonstrated leadership capabilities and knowledge of adult learning theory to

influence adult practice

? Evidence of working constructively with teachers, principal(s), and other

school staff

? Experience analyzing, developing, implementing, and evaluating school action

plans

? Ability to establish and maintain positive relationships with

families.

Operations that need to be maintained and strengthened

? Conduct the two state mandated Count Days

? Manage transfer requests and withdrawals

? Resolve complex student placement and transfer cases

? Serve as a point of contact for families navigating enrollment challenges

? Provide guidance and clarity to school staff on enrollment procedures ?

Create and update enrollment-related materials

? Address concerns related to school fit, peer continuity, or program access

? Monitor building utilization rate and Consent Decree compliance (student

demographics at each school)

? Monitor competitors and legislative activities

? Provide on-going training and support to school administrators and staff on

school choice, enrollment processes

Void areas that need to be worked on

? Build partnership with government agencies, non-profit organizations, and private

business to promote SBCSC and support recruitment

? Recruit, train, and manage families and community members to serve as SBCSC

ambassadors

? Represent the district at school and community events, forums, and public

meetings on enrollment

Qualifications:

Applicant must have a valid Indiana Administrative License, strong planning,

listening, organizational, supervisory, analytical, problem-solving,

computer, organizational, accountability,

multi-tasking, flexibility, resourcefulness, and oral and written

communications skills. Applicants must possess knowledge of the

comprehensive organization, operations, policies and objectives of

assigned department or area.
