Position Summary:

Applied Training Solutions, LLC is seeking an experienced EOC Administrative Specialist to assist the EOC Manager in performing administrative and clerical duties. This role supports the maintenance of records, the acquisition and prioritization of critical information, and accurate documentation through note-taking during meetings and operational briefings.

Key Responsibilities:

  • Support the EOC Manager in managing daily administrative operations during emergency activations
  • Maintain and organize documentation, reports, and records in accordance with EOC protocols
  • Acquire, organize, and prioritize incoming information to support situational awareness
  • Take accurate and timely notes during meetings, briefings, and incident updates
  • Assist in preparing situation reports, resource requests, and internal communications
  • Coordinate with section chiefs and other staff to ensure administrative continuity
  • Support logistics for meetings, including scheduling, document preparation, and follow-up
  • Track task assignments and ensure timely completion of administrative action items
  • Maintain confidentiality and manage sensitive incident-related information appropriately

Basic Qualifications:

  • Minimum of 1 year of experience providing administrative or clerical support in an emergency management, government, or operational setting
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Excellent written and verbal communication skills
  • Ability to take clear, concise, and complete notes in high-paced environments
  • Must be a U.S. citizen

Preferred Qualifications:

  • Experience working in an Emergency Operations Center (EOC) or similar response environment
  • Familiarity with ICS (Incident Command System) and EOC operations
  • Experience with documentation during federally declared disasters or exercises
  • Knowledge of emergency management terminology and processes

  • Performance Location: On-site while on assignment (location TBD)
  • Relocation Assistance: Not applicable
  • Clearance Required: None
  • Travel Required: Yes – up to 100% while on assignment

Working Environment:

The usual work environment is an office or EOC setting at a location determined by assignment. The role may involve occasional lifting of computers and equipment (generally not exceeding 50 lbs.), typically in connection with off-site transport. Travel regularly includes locations throughout the continental United States and its territories. Duties may involve extended work periods beyond 12 hours per day, work in outdoor/austere conditions, and prolonged driving to work sites.
