The HR Onboarding Specialist for Physicians and APPs plays a pivotal role in ensuring a seamless pre-employment experience, maintaining compliance with company policies and regulatory standards. This position is responsible for coordinating and completing all background assessments and employee health appointments, fostering a smooth transition for new providers.

Highly collaborative, this role works closely with provider leadership and HR Business Partnerships to deliver an excellent onboarding experience. From initial outreach to final onboarding, every interaction is designed to provide clarity, support, and confidence, setting the stage for long-term engagement and success.

Additionally, the HR Onboarding Specialist oversees the tracking and maintenance of yearly House Staff processes. Responsibilities include uploading batch assessments, ensuring the timely completion of pre-employment requirements, and maintaining accurate records for all newly hired Physicians and APPs. This role is essential in upholding organizational integrity and efficiency, ensuring all provider records are precise and complete for hire.

Essential Job Statements

Ensure all background assessments and employee health appointments are scheduled, conducted, and completed in compliance with company policies and regulatory standards.

Act as a primary point of contact for providers throughout the pre-employment process, addressing questions and concerns with clarity and professionalism.

Collaborate with provider leadership and HR Business Partnerships to deliver a seamless and supportive pre-employment experience for new Physicians and APPs.

Streamline onboarding workflows, ensuring efficiency and consistency in provider hiring and integration.

Maintain accurate records for newly hired Physicians and APPs, ensuring all documentation is complete for onboarding and compliance purposes.

Oversee the tracking and maintenance of pre-employment requirements for yearly House Staff, including batch assessments and completion records.

Ensure all pre-employment processes align with company policies, accreditation standards, and healthcare regulations.

Work closely with multiple departments to coordinate onboarding needs, fostering a unified approach to provider integration.

Utilize HR systems and data platforms to track, report, and manage pre-employment processes efficiently.

Identify opportunities to enhance onboarding experiences, implementing best practices to improve efficiency and provider satisfaction.

Collaborate with colleagues to foster an inclusive environment, actively participating in initiatives to strengthen and contribute to the diversity, equity, and inclusion efforts of the organization.

Performs other duties as assigned and/or participates in special projects in order to support the mission of VCUHS and department.

Employment Qualifications

Required education: High School Diploma or GED

Preferred Education: Bachelor’s degree Business, Human Resources, or related.

Minimum Qualifications

Years and Type of Required Experience: Minimum of 2 years of human resources experience in a role require e requiring customer interaction and problem-solving resolution. At least 1 year of experience as HR Onboarding Specialist.

Other Knowledge, Skills and Abilities Required: Ability to manage multiple onboarding processes simultaneously, ensuring timely and efficient completion of pre-employment tasks. Understanding of employment laws, credentialing requirements, and compliance standards specific to physicians and APPs. Capability to engage with providers, leadership, and HR teams professionally, offering clarity and support throughout onboarding. Skilled in maintaining accurate records, utilizing HR databases, and ensuring seamless documentation of pre-employment processes. Ability to troubleshoot challenges, streamline workflows, and continuously improve the onboarding experience for new healthcare providers.
