Job Description:
  • Under the supervision of the Mailroom Supervisor, the Mailroom Clerk I is responsible for performing all tasks necessary to ensure the operation of the New Jersey Schools Insurance Group’s mailroom. This includes sorting, filing, scanning, and distribution of incoming faxes, paperless tasks, interdepartmental mail, as well as processing all outgoing mail.

Role & Responsibilities: 

  • Responsible for handling all functions of the NJSIG mailroom, including distribution of incoming faxes, paperless tasks, and mail, as well as logging these items into the NJSIG document management system as required;
  • Responsible for the sorting and distribution of mail; Page 2 of 4
  • Responsible for having a complete understanding of the NJSIG document management system, including all drawers, workflows, and tasks; 
  • Generate claim acknowledgments and closure letters for claims. 
  • Responsible for the handling of all outgoing mail and operating NJSIG’s automated postage equipment, including the processing of outgoing mail postage through the accurate determination of postage rates and regulations;
  • Responsible for processing and logging all outgoing certified mail. 
  • Responsible for acting as backup for scanning and logging other documents as required to the NJSIG document management system, as well as the general maintenance of scanning equipment. 
  • Responsible for scanning documents and indexing them into the NJSIG document management system; 
  • Responsible for data entry as required, including FROI/SROI/CMS submissions and corrections; 
  • Follow supplemental indemnity procedures; 
  • Generate and distribute reports as required; 
  • Ensure secure document disposal by NJSIG’s document retention policy; 
  • Preserve original documents as required by NJSIG’s document retention policy; 
  • Maintain a complete understanding of the NJSIG document management system, including all drawers, workflows, and tasks; 
  • Complete special project assignments where deadlines will be provided; 
  • Clean and maintain scanning equipment and schedule bi-annual maintenance with Kodak; and, 
  • Act as backup for setting up new claims. 

Qualifications: 

  • High school diploma, General Educational Development certificate, or state-authorized high school equivalent certificate required; 
  • Minimum of one year of experience in a clerical support position required, with preference given to those with mailroom experience; 
  • Knowledge of automated postage equipment operations required, while experience with Client postage machinery is preferred; 
  • Familiarity with document scanning equipment required, with knowledge of Kodak document scanning equipment being preferred; 
  • Ability to work in an office environment with a moderate noise level, lift frequently, and occasionally lift up to fifty (50) pounds; 
  • Residency in the State of New Jersey by the New Jersey First Act, N.J.S.A. 52:14-7, et seq., unless otherwise exempted.
