The Opportunity

Valvoline has a rewarding opportunity as an Onboarding Specialist. In this role, you will support the Express Care program managing process for all store changes – new, renewals, sales, and closures. As manager for this activity, this position is responsible for coordinating and directing activities across multiple corporate, field business groups, and customers. The Onboarding Specialist defines, prioritizes, plans, allocates resources, monitors progress, and keeps stakeholders informed throughout a location’s transition within the program. This includes regular communication to on-boarding and off-boarding support teams of timing and expectations for the pipeline of stores, ensuring on-time completion of tasks, and capturing learnings for continuous improvement.

How You’ll Make a Difference

  • Primary project management responsibility includes focusing on all customer location activity, (a) new to the program, (b) location renewals, (c) the sale of a location, and (d) the closure of a location.
  • Managing multiple projects and keeping all stakeholders aware and apprised of the status. Delegating of tasks on the project to employees best positioned to complete them.
  • Understanding the end-to-end process during a customer’s onboarding experience, identifying gaps, looking for process improvements, and capturing learning from key stakeholders, then using this knowledge to help drive future process and efficiency improvement for each store project.
  • Secondary project management responsibility includes managing the capital budget (i.e., the annual signage budget for new and renewal locations). Understanding when to adjust schedules and targets on project needs or financing for the project change.
  • Coordinating and managing sign process with imaging team on new and renewal locations. This includes finalizing the budget and rendering for each location, collecting approval/sign-off from the operator as well as any additional forms the city requires, as well as holding biweekly meetings with the imaging team to stay on track with the timeline and budget.
  • Tracking Express Care store counts (including losses, renewals, etc.) and communicating accurate numbers to internal and external teams monthly.
  • Reviewing contractual compliance with all systems and taking necessary actions to ensure operators are meeting obligations.
  • Overseeing legalities with offboarding locations. Communicating fees owed and working with accounting to locate and allocate funds to appropriate cost centers.
  • Act as a source of truth for the Express Care Master list, updating weekly with any additions, losses, or changes to the locations or program.
  • Lead or participating in special projects as requested by the Director, Express Care.

What You’ll Need to Succeed

  • Bachelor’s degree in Business, Marketing, Engineering, or Communications, or relevant work experience
  • Minimum of five years of work experience in project management, business analysis, or program management
  • Aptitude for project, process, and change management
  • Must be a self-motivated, independent thinker who possesses effective communication and interpersonal skills
  • Ability to work in a team environment with minimal supervision
  • Experience working with small business owner-operators and/or the quick lube industry is preferred
  • Must be authorized to work in the U.S.
