Job Description
Primary Purpose
The Lead Maintenance Administrative Coordinator at Port Arthur LNG plays a pivotal role in supporting the maintenance department, ensuring seamless operations and effective communication. This position not only supports site administrative functions but is also integral to the analysis of maintenance key performance indicators (KPIs), budget tracking, and the generation of insightful reports to aid in strategic decision-making.
Key Responsibilities:
* Site Administrative Support: Collaborate with the site administration function to support site activities and administrative needs, working alongside site admins to ensure smooth operations while providing essential administrative assistance to the maintenance department. This will include managing and organizing documentation such as work orders, service requests, and equipment records.
* Report Preparation: Assist in the preparation of comprehensive maintenance reports and presentations, ensuring clarity and accuracy.
* Inventory Management: Maintain an up-to-date inventory of maintenance supplies and equipment, ensuring availability and proper stock levels.
* Data Analysis: Collect, analyze, and interpret maintenance KPIs to identify trends and areas for improvement, developing and maintaining databases for tracking performance metrics.
* Budget Management: Monitor and track maintenance department budgets, ensuring adherence to financial plans. Assist in the preparation of budget forecasts and financial reports, identifying cost-saving opportunities and recommending budget adjustments.
* SAP Project Portfolio Management: Maintain SAP Project Portfolio Management for budget planning, communicating with project managers on cost, forecast, and progress status.
* Turnaround Reporting: Generate detailed reports for Turnarounds, providing critical insights into maintenance activities, performance, and efficiency.
* Collaboration: Work closely with the finance department to ensure accurate budget reporting and with project managers to communicate progress and financial status.
Duties and Responsibilities
  • Manage and organize maintenance documentation, including work orders, service requests, and equipment records.Assist in the preparation of maintenance reports and presentations.Maintain inventory of maintenance supplies and equipment.
  • Collect, analyze, and interpret maintenance KPIs to identify trends and areas for improvement
  • Develop and maintain databases for tracking maintenance performance metrics.
  • Maintain SAP Project Portfolio Management for Budget planning. Communicate with project managers on cost, forecast, and progress status.
  • Generate regular reports on maintenance activities, performance, and efficiency.
  • Monitor and track maintenance department budgets, ensuring adherence to financial plans.Assist in the preparation of budget forecasts and financial reports.Identify cost-saving opportunities and recommend budget adjustments.
  • Collaborate with the finance department to ensure accurate budget reporting.Generate reports for Turnarounds
  • Performs other duties as assigned (no more than 5% of duties).

  • Bachelor’s Degree Business Administration, Management Information Systems Preferred
  • H.S. Diploma/GED General studies Required

  • 7 Analyzing Maintenance Data and Reporting to Dashboards Required
  • 5 Analyzing Data from SAP/ CMMS Required

  • Possess extensive knowledge and proficiency in the use of Microsoft Office Suite, Power BI,Word, Excel, PPT, SAP to convey information with clarity through presentations and reports.Familiarity with budgeting and financial reporting. Advanced
